Setting Up a Home-Office Filing System That Survives the Year
A filing system fails for one reason: it asks too much of you on a busy day. The fix is fewer categories and a fixed weekly habit.
Use Five Categories, Not Fifteen
Money, Home, Health, Work, Identity. Almost every document a household keeps fits one of those. Fifteen precise folders sound organised and quietly guarantee that paper stays on the desk instead.
Give the Current Year Its Own Drawer
Live paperwork in the top drawer, closed years below. At the end of the financial year you move one block down and start clean — no re-sorting, no archaeology.
One Landing Tray, Emptied Weekly
Everything that arrives goes in a single tray. Once a week the tray gets emptied into the drawer. Ten minutes, one habit, and the desk stays clear.
Label Where You Can Read It
Labels belong on the front of the folder tab, written the same way every time: category, then year. If you cannot read it while crouching, it is in the wrong place.
Keep the Shredder Next to the Cabinet
Filing and discarding are the same task. When the bin is across the room, everything gets filed “for now” and the drawer fills with paper nobody will read again.
Review Twice a Year
Fifteen minutes in April and October is enough to pull expired documents, thin out duplicates and reset the folders — far easier than one heroic clear-out.
The Furniture Part
A lockable cabinet within arm’s reach of where you sit is what makes all of the above possible. If it lives in another room, the system becomes a pile.
